Smarteezie is easy to use for everyone. Whether managing or calling it makes the information needed easily accessible. Its flexible and can be tailored to your exact needs. Unlike some other products Smarteezie allows tracking of individuals from one campaign to the next.

Pre-Campaign

The data preparation processes are simplified and within Smarteezie you can:

  • Assign ask amounts
  • Assign batches
  • Assign segments
  • Generate pre-call letters (by post or email) with variations that reflect the segment, giving history and other crucial factors.
  • Import data some time before the campaign, perform the pre-call tasks and re-import the contact data just prior to the calling period to ensure its accuracy. This will get you well ahead with your organisation.
  • Leave caller assignment to be done by the system using matches that you have provided, e.g. subject of study, home town, etc or marry callers to specific prospects, e.g. the better prospects to the more competent callers.

Calling

  • A single page interface, making data entry simple
  • The system will not let the caller proceed without having completed all the necessary fields thus reducing error
  • The Gift Aid and Matched Funding elements of the gift are automatically calculated so that they can be reported back to the donor instantly.
  • Donations can be allocated to any number of different funds by percentage.
  • The recording of credit card and bank account information is PCI compliant.
  • Those who have been tried least will be prioritised which has a positive impact on your contact rate.
  • Calls are timed to enable the Manager to assess the effectiveness of individual callers.
  • Smart Tabs enable the caller to access information quickly and easily on any number of topics such as forthcoming events, the Matched Funding scheme, alumni benefits, projects that have been supported by the Alumni Fund, etc.
  • Template emails enable the caller to send the alum requested information immediately cutting down on follow-up.
  • The system preserves the contact log from one campaign to the next so the caller can view the detail of the previous campaigns which facilitates a more personal, meaningful call

Post Calling

  • The Supervisor is required to approve all calls completed before they are ready for fulfilment which acts as a quality control mechanism.
  • If desired, the fulfilment documents (envelopes, donation forms, no contact letters, etc) can be produced in batches during the shift which significantly reduces the time needed the next day to prepare the follow-up packs.
  • Comprehensive statistics will allow you to compare the performance of callers, segments, age ranges, etc and one campaign to another.
  • Uniquely, Smarteezie will allow you to update it with the gifts as they are received which provides you with more meaningful and useful statistics and makes pledge chasing a much easier process.
  • A clear list of data changes can be viewed at any time by the appropriate member of staff.
  • The campaign stats will be available on-line and in real time. You can give your senior management access to the results and also monitor progress while you are away from the office.
